Fees

Rates and payment information are as follows.

Initial Consultation Call: No charge

Individual Sessions (50 minutes): $135

Couples/Family Sessions (90 minutes): $165

Late Cancellations/No-Shows (without 24-hour notice): Clients will be charged full price of the missed appointment

Individual sessions are generally 50 minutes long. Family and couples counseling sessions are typically 90 minutes long. If you would like to request additional session time, feel free to consult with your therapist to schedule. There is a fee of $60 for every additional 30 minutes over a 90- minute session.

At Hartwell Counseling, we know that there are many clients and families that are in need of quality services, but the financial commitment is just not possible. We have a few reserved spots for these clients to receive services at a reduced rate. If you think you qualify, please ask about our sliding scale rates and payment during the initial consultation.

Late Cancellation/No-Show Policy

Life happens and unexpected events may occur that prevent a client from being able to attend their scheduled appointment. In order to respect the time of both the client and the therapist, we ask that you please provide 24-hour notice when cancelling or rescheduling your appointment. Unfortunately our appointment times are limited, so when this cancellation policy is not followed, it results in lost time and income for the therapists. It also prevents the opportunity to offer that appointment slot to other clients. Please be advised that our fee for cancelled, rescheduled, or missed (no-show) appointments without providing the 24-hour notice is the full session fee. We understand that emergencies and illnesses can occur last minute, so please be conscious of this policy to avoid any unnecessary expenses.

This cancellation policy is a standard practice in mental health settings. Please let your therapist know if you have concerns about your ability to attend regularly scheduled sessions. In the event you need to cancel or reschedule your session, feel free to email your therapist directly or call our office at (407) 338-3568.

Late Policy

In order to get the most out of your session time, it is recommended that you arrive on time for your scheduled appointments. In the event that you are running late, please notify your therapist as soon as possible. If a client arrives more than 30 minutes late, the therapist may decide that there is not enough time left to be effective and the appointment will need to be rescheduled. In this situation, this will constitute a missed appointment and you will be charged the full session fee.

Please plan accordingly and notify your therapist if you are going to be late. This allows us to work with your schedule and find a time that is more convenient. Although appointment availability is limited, we will do our best to accommodate our clients’ schedules as much as possible.

Insurance

Hartwell Counseling is an “out-of-network” provider and therefore is unable to accept insurance. If you require a receipt to provide documentation in order to make a claim for potential reimbursement from your insurance provider, we will be happy to provide that for you. Please contact your health insurance provider to find out what mental health services your plan may cover.

Before utilizing insurance for mental health services, please familiarize yourself with some of the benefits of paying privately. Some common reasons clients may opt not to use insurance for therapy are as follows:

  • Access to higher quality services
  • More control over your treatment
  • Avoid the assignment of a mental health diagnosis
